Candidate privacy notice
JAC Ecom Ltd, trading as TikMarketing ("we"). Version 1, 23 October 2026.
This notice explains what we do with your information when you apply for a job with us. We've written it to be read, not skimmed.
Who we are
JAC Ecom Ltd, trading as TikMarketing, Suite 9 Stanley Centre, Kelvin Way, Crawley RH10 9SE. We are the controller of your information. Contact us about anything in this notice at hello+privacy@tikmarketing.co.uk.
What we collect, and why
- What you give us when you apply:
- your name, email, mobile and town or city
- whether you have the right to work in the UK, and whether you'd need sponsorship
- whether you're working now, your notice period and when you could start
- your CV
- your written answers
- how you found us
- What you give us later in the process:
- your written task
- your live tasks
- your interview, recorded unless you ask us not to (see "Interviews" below)
- the referees you put us in touch with
- What others give us: if you apply through a job board (Indeed, LinkedIn, Reed, Totaljobs, CV-Library), the board sends us the details you gave it. If someone refers you, we note who. Referees tell us about your work, but only with your agreement.
- What we never ask for before an offer: your date of birth, a photo, your address, your National Insurance number, anything about your health, family, relationships or plans, or anything about who you are rather than what you can do. If you tell us something like this anyway, we don't record it and it plays no part in any decision.
- Adjustments: if you ask for an adjustment to take part (extra time, a different format, a phone call instead of video), we keep that request separately. It goes only to the person who arranges it. The people scoring you never see it, and neither does the AI.
We use this information to assess your application fairly, to run the process (messages, bookings, reminders), and to keep a record we can show to you or to a tribunal if we ever need to.
Our lawful basis
- Legitimate interests, for reviewing, scoring, interviewing and assessing applicants. Our interest is hiring the right people through a fair, consistent process. We've written down why that doesn't override your rights.
- Legal obligation, for the right-to-work check after an offer.
- Contract, once you accept an offer.
- Consent, only if you choose to join our talent pool. You can withdraw it at any time.
How AI is used, and your rights about it
- We use AI to help score written work against a fixed marking guide: your cover letter, written answers, task, live-task write-ups and interview transcripts. These are the same guides our human scorers use.
- Before anything is scored, your name and other details that could identify you or your background are removed.
- The AI is one rater. It must quote the words it based each score on. Its scores are added up with fixed weights.
- Up to the interview stage, the decision to move you on or close your application can be made automatically from these scores. That's a decision based solely on automated processing.
- When that happens, we tell you the result, the main reasons, and that you can:
- give us your view
- ask for a person to review it
- challenge it Just reply REVIEW, or email us. Jack reviews every request himself, normally the same day and never later than one month.
- Borderline results always go to a person before anything happens. From the interview onwards, every decision is made by a person.
- You never talk to the AI. It doesn't answer your messages. Everything you send us is read by our team.
- We test the scoring for bias before we use it and every month after.
Who sees your information
- Jack Dodd (founder) and, once trained, Lewis Gilby (COO). Our HR lead sees the hire record of the person we appoint.
- Service providers working for us (processors):
- Anthropic (AI scoring). Contracted through Anthropic Ireland, Limited; data is processed and stored in the United States. Protected by the UK International Data Transfer Addendum to the EU Standard Contractual Clauses in Anthropic's data processing terms. Anthropic does not train its models on our data. Ask us for a copy.
- Meta (WhatsApp messages; WhatsApp messages pass through Meta's service).
- Twilio (text messages).
- Google (email, calendar, Google Meet).
- Cal.com (interview booking).
- Hetzner Online (the server in Finland, in the EU, where our records are kept).
- We never sell your information or use it for advertising.
Messages
- We'll message you on WhatsApp about your application, unless you untick that box on the form. Reply STOP at any time and we'll switch to email.
- We may text you if WhatsApp doesn't reach you.
- We email documents and anything formal.
- These are messages about your own application. We'll only tell you about other roles if you've opted into our talent pool.
Interviews
- Interviews are recorded and transcribed so they can be scored fairly and checked by a second person.
- If you'd rather not be recorded, tell us. We'll take written notes instead, and it won't count against you in any way.
- Recordings are never used to judge your personality or emotions from your voice or face.
How long we keep it
- If you're not hired: 12 months from our final decision, then deleted. That's long enough to respond to any question or claim about our decision.
- Talent pool (only if you opt in): 12 months, and you can leave at any time.
- CVs sent for roles we aren't hiring for: deleted within 7 days.
- If you're hired: your record moves to your employee file and the rest is deleted.
Your rights
- You can:
- ask for a copy of everything we hold about you, including scores, reasons, notes and recordings
- ask us to correct it
- ask us to delete it or limit how we use it
- object to our use of it
- ask for a person to review any automated decision
- Complaints to us: you can complain to us about how we've handled your information. Use the form at careers.tikmarketing.co.uk/complaint or email hello+privacy@tikmarketing.co.uk. We'll acknowledge it within 30 days and keep you updated until it's resolved.

If you don't give us information
- We need the information on the application form to consider you. If you leave something out, we may not be able to.
- Asking for an adjustment is always optional.
